Introduction
With Local Supply Chain you can issue online awards and declines to suppliers on the platform. Generally, the award process will follow on from an Enquiry you have issued on the platform, however you may also issue an award (or decline) to a supplier outside of the Enquiry process (for example you may have awarded a supplier with some work outside of the LSC system and simply wish to record the event on the platform).
Who can access this area?
The award process is restricted to users with a specific role on the system. If you find that you cannot perform the award process, then please contact your procurement / supply chain team who can change your user settings to enable you to make an award (alternatively you may contact LSC support by emailing support@localsupplychain.co.uk.
In addition to having the 'award role' you will also require editing rights to the project to perform the award process.
How do I issue an Award or Decline on LSC?
The Award & Decline feature may be actioned from three areas on LSC:
1) Issuing an Award from an Enquiry (at Tender stage).
2) Issuing an Award from an Enquiry (at Contract stage).
3) Issuing an Award outside of the Enquiry process.
Each process is described in detail below:
1) Issuing an Award from an Enquiry (at tender stage)
A work package will automatically close when the close date arrives, and you will be able to move to the award/decline stage. If you have selected the ‘close enquires early’ in the procurement settings, you can close the work package when you deem necessary and move on to the award/decline stage early
To navigate to the award page, go to your project where you will see the list of work packages, which (if you let run to the close date) will look like the below
If you want to close early, it will look like the below
Select the ‘award button’ and the award page will show, you can choose to alert the supplier of the award. If you are an admin, you can change the award date in the top amber box.
Select the tick button to award the supplier, you will then be asked to add a value
When you decline the suppler you will be asked to give a reason why for feedback to the supplier
2) Issuing an Award from an Enquiry (at Contract stage)
The process remains the same as an Enquiry (at Tender stage), please follow the steps above.
Please Note: A user may elect to close an Enquiry early if required, this action will automatically start the award process
3) Issuing an Award outside the Enquiry process
On LSC you can issue an award without the need to issue enquiries to suppliers. To do this, follow these steps.
- Go to ‘Projects’ ‘+New Project ‘. Fill in the information and ‘save’.
- You will then see the project page. Select the +Award to see the below.
-
Select direct award where you can add the trade and supplier.
The messages from LSC are clear and explain that any award is 'An intent to Award' from your business and is not an official order to proceed with the works.
