Introduction
There are different ways and levels of sharing project information through LSC. There are different rules on who you can share information with; also, the level of information you wish to share. Share with individual users both internally/externally. You can share an overview of the Project and Procurement information, excluding tender returns for example, and share all your commercial information, for example, including tender returns.
Sharing with a framework
Frameworks can be configured by the framework operator in two ways within LSC.
Configuration 1 - provides the framework an overview of projects and procurements, with the Option for you to then share further commercial information.
Configuration 2 - provides the framework operator with instant access to an overview of all project and procurement information.
The configuration of the framework also affects the level of information shared when also sharing the project with other organisations or other internal and external users.
Below, we go into more details on the different levels of information accessed by a framework operator, depending on the way the framework is configured.
Framework – Configuration 1
Link with a framework:
- Create your project on LSC and save
- Once you have saved a Frameworks drop down will appear for you to select the framework the project is linked to.
- Once you have linked your project to a framework this will give the framework owner read only access to your project. They can see any procurements on the project, project reports and documents but no commercial information.
- Save and close project.
Sharing at organisation level (in the project):
- In the project editing screen you can share the project with an organisation that is registered on LSC.
- Add the organisation name in the share project section and save.
- This shares the project to all users within that organisation. This gives the users read only access to the project. They can see any procurements on the project, project reports and documents but no commercial information.
Teams Tab (Individual user):
You can share through the teams tab if you are a project owner, project editor or have an administrator role
Within your project go to the teams tab:
- Add new
- Select if it is an internal or external user
- Add LSC registered users email address in email box and wait for “we’ve found a match” message and click share with contact.
- If you don’t receive this message the user is not registered on LSC and the project can’t be shared with them until they are.
- Once you have clicked share with contact this will give that user read only access to the project. They can see any procurements on the project, project reports and documents but no commercial information.
Sharing Package review:
- You will need a governance role to do this
- Within your project go to package review tab
- Click start review for the package you want to share.
- Go to settings
- Under Client/Shared visibility change the drop down for Tender/Contract/Award to shared.
- To share the proposals you will need to change “proposals visible” to Client can view proposals when shared.
- By doing this anyone you have shared the project with by either linking it to a framework, sharing at organisation level or shared with through the teams tab will be able to view proposals submitted by the suppliers.
Framework – Configuration 2
When you link a project to a transparent framework, the framework owner has read only access to your project. They can view live procurements, project reports, project documents, tender returns (proposals), awards information including values.
Link with a framework:
- Create your project on LSC
- Once you have saved a Frameworks drop down will appear for you to select the framework the project is linked to.
- Once you have linked your project to a framework this will give the framework owner read only access to your project. They can see any procurements on the project, project reports, documents and commercial information such as proposals.
- Save and close project.
Sharing at organisation level (in the project):
- In the project editing screen you can share the project with an organisation that is registered on LSC.
- Add the organisation name in the share project section and save. This shares the project to all users within that organisation. This gives the users read only access to the project. They will be able to see all procurement activity as well as commercial information such as proposals.
Teams tab -
You can share through the teams tab if you are a project owner, project editor or have an administrator role You will need an administrator role to do this
Within your project go to the teams tab:
- Add new
- Select if it is an internal or external user
- Add LSC registered users email address in email box and wait for “we’ve found a match” message and click share with contact.
- If you don’t receive this message the user is not registered on LSC and the project can’t be shared with them until they are.
- Once you have clicked share with contact this will give that user read only access to the project. This gives the users read only access to the project. They will be able to see all procurement activity as well as commercial information such as proposals.
If the project isn’t linked to a Framework, you can still share the project with external organisations and external users. When doing so, the following rules apply:
Sharing with organisation:
- In the project editing screen you can share the project with an organisation that is registered on LSC.
- Add the organisation name in the share project section and save.
- This shares the project to all users within that organisation. This gives the users read only access to the project. They can see any procurements on the project, project reports and documents but no commercial information.
Package review:
If you added an external user via the Team Tab and wish to share commercial information like proposals you can do so by adding them to the package review
You will need a governance role to do this
Within your project go to package review tab:
- Click start review for the package you want to share.
- Go to settings
- Under Client/Shared visibility change the drop down for Tender/Contract/Award to shared.
- To share the proposals you will need to change “proposals visible” to 'Client can view proposals when shared'.
By doing this anyone you have shared the project with by either sharing at organisation level or shared with through the teams tab will be able to view proposals submitted by the suppliers.
