Introduction
With 'forms' you can create bespoke data sets & associated workflows, helping you to replace pretty much any paper or electronic information you hold or require from suppliers.
For example, you can create your own bespoke PQQ & evaluation processes and issue to suppliers for completion. Once the supplier completes the PQQ they submit the information back to your team(s) who are then tasked with the evaluation of the suppliers application. Previous PQQs are held in a vault and can be accessed at any time.
Who can access this area?
Forms are normally 'built' by the LSC team. Forms can be issued to suppliers by your users who have been granted the 'form' role. Other users have 'read only' access to the form based information.
How to create a form?
Forms are normally created by the LSC team - please contact support for further information regarding this service.
How do I view / issue a form?
1) Navigate to your desired supplier from the supply chain tab; select the icon on the left of the supplier's name, a drop-down menu appears.
2) Select forms from the menu to display a list of existing forms associated with the supplier. Please note that a form may have been issued several times to the supplier (ie a yearly PQQ for example).
3) From this page you can see all forms assigned to this company, when it was issued, who completed it and when it was completed. You can view the form by selecting ‘view form’
4) To issue a new form to the supplier, select 'manage forms' (restricted to users with the appropriate role):
- Select the form you wish to issue from the drop down
- Select the user (for the supplier) that you wish to notify
- Update the 'issue by' if required (you may wish to issue the form from another member of your team and not yourself)
- Select 'Issue form'
The new form will be created and issued to the supplier.
If the form design includes internal tasks for members of your team (eg PQQ evaluation processes) then they will receive a notification regarding their task once the supplier sends the form for approval.
You can also set up a scheduled form for the future by selecting the schedule icon and setting up the scheduled dates.
